RE : LETTER OF APPOINTMENT
We are pleased to offer you employment as a CONVEYANCING SECRETARY with effect from [Insert Date] at our KL Branch Office on the following terms and conditions.
1. Salary Remuneration
Your basic salary will be__________per month based on the scope of work within the above position which includes inter the followings:
(a) To handle all conveyancing files in KL; and
(b) Miscelleneous legal matters undertaken by the Company from Litigation, Drafting of Agreements, Probate Matters and Divorce matters; and
(c) Some office administrative work which includes handling of petty cash and handling of reference book.
Your salary will be paid at the end of each month. Your performance will be reviewed periodically (annually or otherwise) and based on your performance, salary increases will be considered by the Company at discretion.
Apart from the above and provided there are no breach to the terms of the employment, you would also be entitle to Introduction Fees of any work introduced to the firm by you being part of the scope of the work and the amount of entitlement would be decided at the sole discretion of the Company on a case to case basis depending on the circumstances. The said payment shall be made upon submission of a report of the cases you brought to the company at the end of each month otherwise the Company has the right to reject delayed submissions and claims.
2. Probation Period
You will have to undergo a probation period of Six (6) Calender Months from the date of employment. At the end of this period, your performance will be reviewed by the Company who reserves the right to confirm or terminate your employment.
3. Notice of Termination
Upon confirmation, either party is required to give One (1) month notice to terminate this Agreement save for in situation whereby there were breaches by the yourself regards to non compliance with the terms of employments whereby we shall reserve the right to terminate the said employment with immediate effect without the need for any notice.
Any breaches by your goodself shall be communiated to you via email or other methods stating the said breach and shall provide you a fourteen (14) days period to rectify the same and explaining to us the said breach failing which upon the expiration thereof, we shall reserve the right at any time thereafter to issue a termination notice whether with or without one month’s notice to terminate this contract due to the breach(es) by yourself.
The Management shall have a discretion to accept and/or reject the clarification by yourself regards to any breach by you pursuant to the terms and conditions of this Agreement and/or subsequent notification.
The Management may, on the grounds of misconduct which is inconsistent with the fulfillment of the exprenss or implied conditions of his/her service or in the event of any willful breach by the employee of the contract of service, after due enquiry:-
(a) dismiss without due notice to the employee and without having to pay salary in liew of notice; or
(b) downgrade the employee; or
(c) suspend the employee without payment of salary for a period until the completion of the enquiry; or
(d) impose any other lesser punishment as the Management deems just and fit.
An employee shall be deemed to have broken the contract of service with the Management if the employee has been continuously absent from work for more than TWO (2) consecutive working days without prior leave from the Management unless a reasonable excuse was given for such absence and has informed or attempted to inform the Management of such excuse prior to or at the earliest opportunity during such absence.
An employee shall not divulge to any outside party on all the information obtained in the course of work. A breach of confidentiality shall entitle the Management to terminate the employee’s contract of service without due notice and without having to pay any salary in lieu of notice.
THE FIRM’S RULES, REGULATIONS AND PROCEDURES SHALL BE SUBJECTED TO FURTHER REVISIONS BY THE MANAGEMENT AND WILL BE MADE KNOWN TO THE EMPLOYEES FROM TIME TO TIME.
ANY MATTERS NOT PROVIDED FOR IN THIS DOCUMENT WILL BE AT THE DISCRETION OF THE FIRM AND SUBJECT TO THE COMPLIANCE WITH THE EMPLOYMENT ACT 1955 OR ANY OTHER RELATED LEGISLATIONS.
4. Employment Provident Fund (EPF) and SOCSO
After confirmation, you shall contribute to EPF and Socso as per statutory rates and the Company shall make similar contribution with effect from time of the date of confirmation.
5. Annual Leave
Upon confirmation, Twelve (12) days leave with full pay will be granted as annual leave. Such leave must be taken at times convenient to the Company and subject to approval from the Company. Annual leave may carried forward to the following year.
In the event you have exhausted your leave and you require further leave, you are at liberty to apply to the Company for consideration.
Medical Benefits
Upon confirmation, You will be entitled to claim for normal medical benefit, i.e. where you are attended to by a General Medical Practitioner for consultation and medicine only. The medical benefits do include dental, obstetrics, general medicine tests and cosmectic surgery.
The total amount is up to RM200 for the whole year and not exceeding 12 days and any further claims would only be entertained on case to case basis.
6. Public Holidays
You shall observe all the gazatted public holidays.

7. Working Hours
Five (5) working days,
Monday to Friday : 9.00a.m. to 6.00p.m.
Lunch Break : 12.30 p.m to 1.30 pm or
1.00 pm to 2.00 pm
8. Other
(i) Other general standard Employment terms and conditions applies which shall be sent to you via email which is the standard method of communication among staffs in this Company or by way of post to the above-said address.
(i-a) During your course of employment, you shall be given an email address (Gmail address) for purpose of communication among colleagues and with employer of the Company whereby such email address shall at all material times constitute the assets of the Company particularly all its content and upon the expiration of the your employment term with us, the Firm shall take over the email address immediately. You shall be required to provide your password to the firm at all material times.
(ii) During the course of your employment, you are not to engage in other business activities outside without the knowledge of the company and express written consent of the company.
(iii) During the course of the employment, you shall have an online MSN connected at all material times during working hours
